DataCert's Advanced Invoice Management System (AIMS) Allows Corporate Law Departments to Capture Complete Archive of Legal Spend
New AIMS Features Handle Processing of Both Paper and Electronic Invoices
HOUSTON, Jan. 29, 2007 - DataCert, Inc., the leading provider of electronic invoicing and legal spend management solutions, today announced new features in its award-winning solution, Advanced Invoice Management System (AIMSSM), that allow corporate law departments to process and report on paper, faxed or electronic invoices.
Traditionally, technology has relied on only electronic invoices to track corporate legal spend. While a majority of large law firms submit invoices electronically, many smaller law practices worldwide still rely on faxing or mailing paper invoices.
"Microsoft currently receives 100% of our legal invoices in an electronic format," said Steven B. Levy, senior director of information systems, Microsoft Legal and Corporate Affairs. "AIMS has helped us to truly evolve into a paperless billing environment, resulting in improved cost efficiencies and processes."
AIMS' new features will convert all paper and fax invoices into a detailed electronic format that contains critical timekeeper, vendor and matter information, as well as fee and expense detail. Once in the system, converted invoices will be automatically validated against corporate billing guidelines, pushed through a customized workflow until approved and posted for payment. Now, corporate law departments can not only track a complete database of legal spend, but they can also shave weeks from the normal approval process for paper or faxed invoices.
"Fortune® 500 corporate law departments normally receive hundreds of law firm and vendor invoices each day," stated Paul Zengilowski, DataCert's director of product marketing. "By moving paper and faxed invoices into an electronic format, DataCert is streamlining and minimizing steps in the invoice approval process and, more importantly, providing a complete view into legal spend for corporate benchmarking, reporting and budgeting."
AIMS will also permit law departments to submit invoices that were previously processed and paid prior to the implementation of their electronic invoicing and legal spend management system. Personnel can enter line-items and invoice descriptions according to matters, vendors and timekeepers in a quick, easily editable format. This capability allows law departments to view invoices by each individual line-item instead of in a summary format. It also provides the opportunity to examine past performance in legal spend activities, creating a robust legal spend archive.
