DataCert Adds QuickInvoice to Its Product Line

Web-based Invoice Submission Tool Allows Corporate Legal Departments to Monitor All Outside Legal Expenses

HOUSTON, April 28, 2005 - DataCert, Inc., the leading provider of electronic invoicing and legal spend management solutions, today announced the addition of QuickInvoice to its product line. A module of ShareDoc®, DataCert's proprietary web-based invoice subscription service, QuickInvoice allows 100 percent of a corporation's law firms and vendors to send and receive legal invoices electronically.

How It Works

QuickInvoice is simple to use and requires nothing more than a browser. Users log onto the website, select a corporate client, enter invoice-level header information as well as summary information for fees, expenses, and/or discounts, attach an electronic copy of the invoice or backup documentation (as required by the corporate client), and submit through the website directly to the corporate client. Once the invoice is submitted, the user can track and monitor the status of invoice for delivery and approval.

Invoices successfully submitted via QuickInvoice are automatically entered into the corporate client's workflow for invoice processing and payment procedures. Once an invoice is submitted, the corporate client has immediate access to review, adjust, and approve the invoice. When the invoice is delivered or rejected, an email is sent notifying the law firm/vendor; however, a user can also check the status of an invoice at any time within QuickInvoice.

On average, 80 percent of a corporation's outside law firms and vendors submit invoices electronically, commented John Gilman, Director, Product Management, DataCert. "The remaining 20 percent are paper invoices. These paper invoices don't typically get entered into the matter management system, making it difficult to get a true picture of a corporation's total outside counsel spend. QuickInvoice eliminates this issue, allowing all law firms to create, submit, and track summary-level invoices."

Many corporate clients also require backup documentation for invoices. QuickInvoice allows a user to submit electronic invoices or supporting documentation. The type of attachments allowed is determined by the corporate legal department, but commonly accepted formats are: Adobe Acrobat files (.pdf) and Tagged Image File (.tif) files.
