3. How does implementation begin?
Working with your staff, DataCert implementation personnel gather applicable information for
planning integrations to existing matter management, accounts payable and other information
systems as needed. All implementation designs and schedules are approved before
implementation begins.
The DataCert firm implementation team begins with your list of law firms and vendors
to notify and assist them with the transition to electronic billing according to your
corporate business rules.
4. What are the major components of the DataCert spend management solution?
ShareDoc® provides a secure means for law firms and vendors to submit legal invoices generated by their time and billing packages into a standard XML format for secure transmission to the corporate legal department. ShareDoc serves as the secure transfer, temporary storage and validation pipeline between submitting firms and corporate clients using a DataCert client application.
The client application, Advanced Invoice Management System (AIMS), is located behind the corporate client's firewall and retrieves electronic invoices from ShareDoc. Depending on the corporation's needs, AIMS can provide a complete browser-based user interface for rules-based on-line review, adjustment, approval and payment of electronic invoices submitted by law firms, either in a stand-alone configuration or integrated with a third-party matter management system. Corporations that need e-billing retrieval without review and approval features can use a minimal AIMS client for retrieval of electronic invoices for posting to established corporate legal department tools.
5. How do your law firms and vendors get setup and configured to submit electronic invoices?
DataCert implementation professionals contact and assist each law firm and vendor to begin the process
of submitting invoices to be compliant with your submission guidelines. DataCert's
full-time implementation staff handles implementing and supporting your domestic
and international law firms and vendors so you don't have to.
6. How many of your law firms or vendors are already submitting
electronic invoices to other companies?
DataCert has more than 9,600
law firm/vendor connections and 99% of the largest firms in
America currently submitting invoices to clients through our system, so it's likely that
many of your law firm/vendors are already using DataCert. DataCert also moves invoices from
solo practitioner firms, non-firm vendors, consultants and others. During your implementation,
DataCert professionals will determine exactly how many of your firm/vendors already use our solution.
7. What equipment and software are required to use DataCert client applications?
The AIMS application is hosted internally on servers connected to your existing corporate Intranet. All user interface functions are provided through a web browser and therefore each professional that will be using AIMS must use a workstation that meets the following requirements:
- Appropriate Intel x.86 hardware and Microsoft Windows 2000 or later operating system
- Microsoft Internet Explorer version 5.5 or later
